Cancellation Terms – Please read carefully

UNDER NO CIRCUMSTANCES ARE ROOMS TO BE MOVED AND/OR RE-ARRANGED IN ANY OF THE CONFERENCE ROOMS. Rooms are opened as requested on sheet—please allow yourself setup time if needed. Rooms opened and/or coffee requests prior to 8:30am will be charged OVERTIME. Charges are also imposed if rooms require cleaning and/or restoration. If rooms are re-arranged other than specified on the reservation sheet, you will be liable for damages and incur additional charges. SSO reserves the right to move a meeting to a comparable room if needed. SSO is NOT RESPONSIBLE for any items left in room at anytime, including overnight. There is a $15 minimum charge for all deliveries to customers. $5 charge per ice bucket and/or ice tong if not returned.

SSO Tenants Only – Rooms are billed unless WRITTEN cancellation is received 2 FULL BUSINESS DAYS prior to the start time unless 2 or more rooms are reserved on a day, in which case 10 working days for tenants is required. I understand that SSO tenants get a preferential rate for conference rooms as long as the tenant organization is using the meeting space. Sponsorships of outside groups are subject to non-tenant rates.

Non-Tenants/Outside Organizations Only Rooms are billed unless WRITTEN cancellation is received 7 FULL BUSINESS DAYS prior to the start time unless 2 or more rooms are reserved on a day, in which case 15 working days for non tenants/outside organizations is required. Customers not assigned an SSO customer number must pay in advance, and a non-refundable payment is DUE 3 WEEKS IN ADVANCE or the room is forfeited and cancelled.

RESERVATIONS ARE SUBJECT TO CANCELLATION WITH 48 HOURS NOTICE BY SSO.

Building Entry Requirements

For reserved meetings of 20 or more, we require that you e-mail or fax us a typed list of all attendees (3) full working days prior to the start of your meeting. Conference Services will then arrange for building management to generate access badges for all of your listed attendees. These badges will be left in your reserved conference room, so that you may issue them to your guests in the building lobby area prior to the start of your meeting. All others are required to sign in and show a photo ID at the lobby front desk and they will receive a temporary printed badge to gain access to the conference room.
